MEETING ROOM USE
It is necessary that some limitations be given to use of Library Meeting Rooms. Small groups and organizations may have one meeting per month at the Library (except clubs sponsored by the Elmont Public Library).
Concurrently, with the submission of its application for meeting room use, each such group or organization must submit a copy of its by-laws or written guidelines, subject to the approval of the attorney. More frequent Meeting Room use may be granted, based upon both the facility availability and Director's approval, and provided that all other authorized groups and
organizations have been accommodated with respect to their one (monthly) meeting request.
Approval of Meeting Room Use Applications
Groups applying for meeting room space must have a representative attend a regular meeting of the Library Board of Trustees to answer any pertinent questions before approval is granted. In certain circumstances, the President or Vice President of the Library Board of Trustees may give permission to local organizations for a one time meeting at the Library, pending the attorney's approval of the organization's by-laws.
Renewal of Meeting Room Use Applications
The Library Board shall review annually all Meeting Room Use Applications prior to renewal in September.
Any organization that wants to renew the use of the Library for meeting room purposes must have a representative present at the time the renewal applications are considered at the Library Board meeting in July; or, alternatively, must submit a statement signed by at least two authorized representatives or officers of the group or organization certifying that they have
read the "Regulations Governing Use of Meeting Room Facilities," agree personally and on behalf of the organization to abide by the same, and there has been no significant or substantive change in the by-laws or written guidelines which were last presented to and approved by the Board. If this statement is not received by July 1, then a representative must be present at
the next meeting.
Failure to so renew will cause revocation and a new application must be made.
